Rental Terms
All vehicle rentals with Whitehaven are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines specific terms, conditions, insurance coverage, applicable charges, and your responsibilities related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle with us requires:
- To hire a vehicle from Whitehaven, you must be at least 21 years old, although age restrictions may differ depending on the vehicle type. Drivers under 25 may incur extra charges. A valid full driving licence for the vehicle category is required, along with identification and proof of your current address. Valid payment details and a security deposit are also necessary. Please review the Rental Agreement for any additional requirements.
3. Reservations and Payments
- Reservations can be completed on our website, via phone, or directly at our Whitehaven office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are generally required upon vehicle pickup. All charges are listed in British Pounds (£) and include VAT when applicable. We accept major credit and debit cards, ensuring secure transactions through trusted payment systems.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is imperative to conduct a thorough inspection and report any pre-existing damage right away. A vehicle condition report will be generated and signed to document the state of the vehicle. It is your responsibility to return the vehicle in the same condition as it was received, accounting for standard wear and tear. Any new damage will be evaluated and charged as necessary. The vehicle should also be returned with the same fuel level as at the start of the rental; refueling fees will apply if the fuel level is lower. Late returns may incur extra charges, so please inform us as soon as possible if you expect to return the vehicle late. You will be liable for any parking fines, traffic violations, or additional charges that arise during your rental period, along with a corresponding administration fee.
Insurance and Liability Terms
- All rentals at Whitehaven come with basic third-party insurance included. Comprehensive coverage details, along with excess amounts, are outlined in your Rental Agreement. Additional insurance options may be available, which can help lower your financial liability. It is wise to review these options thoroughly. You will be liable for any damage or loss up to the insurance excess amount, unless you opt for additional coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, irrespective of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice provided. For precise details, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
7. Restricted Activities
Prohibited Uses of the Vehicle
- The vehicle must not be used for any illegal activities. Engaging in racing, rallying, off-roading, or similar dangerous behaviors is prohibited. Transporting hazardous materials is not allowed. Sub-letting or permitting unauthorized drivers is unauthorized. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should only be used for its intended purposes and within specified passenger or weight limits. Driving outside designated geographical boundaries requires prior approval.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Whitehaven Car Hire disclaims responsibility for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims will not exceed the rental amount paid in the previous 12 months. This limitation does not apply to claims for death or personal injury resulting from negligence or fraud.
9. Applicable Law
These Terms are regulated by the laws of England and Wales. Any disputes will be resolved in the jurisdiction of English and Welsh courts.

Whitehaven reserves the right to update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services indicates acceptance of the revised Terms.
